Terms and Conditions
Welcome to EA Exchange! Please read these Terms and Conditions carefully before participating in any of our programs. By using our services, enrolling in our programs, or engaging with our platform, you agree to comply with and be bound by the following Terms. These Terms apply to all users, including students, educators, and partners.
Conditions For Applying To EA Exchange’s Programs
EA Exchange is an expert in the study abroad industry and provides consultancy and management solutions for higher education institutions and international students.
The following terms and conditions apply to all programs offered by EA Exchange. However, please note that some programs may have additional or modified terms and conditions. Specific details for such programs can be found in the “Special Terms and Conditions for Specific Programs” section below. It is important to review these sections carefully to ensure you understand the terms that apply to your chosen program.
THE ROLE OF EA EXCHANGE
EA Exchange arranges and promotes applications for study placements at selected universities worldwide. EA Exchange does not offer any teaching of its own. EA Exchange’s assignment is to cooperate with partner organizations and universities to organize study programs and help applicants with information services.
EA Exchange does not provide travel agency services. The applicant is responsible for arranging their own travels and housing for the duration of the study period. EA Exchange can provide information on its partners who provide supporting services for students.
EA Exchange does not arrange accommodation. The students are responsible for finding an apartment on the university campus or from the private market for the duration of the study period.
EA Exchange does offer the students advice and recommendations about travel and housing arrangements.
These Terms and Conditions are valid for all EA Exchange programs and are subject to change with or without notice.
EA Exchange has ensured that all its information communicated to applicants is accurate at the time of publishing but cannot guarantee that all information is correct as the information provided is subject to change without notice. The EA Exchange website(s) information is intended as a general guide and does not give any guarantees.
“Applicant” refers to a person who has applied to a study abroad program offered by EA Exchange.
FEES AND PAYMENTS
Every applicant who has successfully applied will receive an application fee invoice and tuition fee invoice from EA Exchange.
The application fee invoice is sent to the applicant after the application has been processed. For each processed application, the applicant gets one application fee invoice. The application fee is non-refundable.
EA Exchange reserves the right to change the sum of the application fee. Application fees and possible additional fees like late application fees are non-refundable under normal circumstances.
Up to date program-specific tuition fees are announced on EA Exchange’s website(s). Typically, tuition fee invoices are sent to the applicant a few days after the application period has ended, unless otherwise agreed. EA Exchange has a distinct pricing model tailored for students, which is contingent upon their country of residence. EA Exchange and its partner universities reserve the right to modify tuition fees without notification.
The tuition fee does not include airfare, visa costs, insurance, vaccination, accommodation, or any other similar costs.
Payment due dates are announced in the invoices.
Any additional fees or banking fees on both ends must be covered by the student.
Additional charges may apply to payments made by credit card, PayPal, or similar. Possible additional charges are informed to applicants before paying.
Applicants who apply for more than one semester are invoiced all semesters all at once unless agreed otherwise.
If an applicant pays the tuition fee after the payment due date, they can be charged a penalty interest, the amount of which is defined by the interest act of the governing law of the host country. If an applicant fails to pay the fees or has not delivered the required documentation despite notifications, their study place can be canceled.
If the applicant has changed their study program after paying the tuition fee, EA Exchange reserves the right to invoice any differences in tuition fees from the applicant.
EA Exchange may charge additional fees, e.g., a late application fee or a Telex fee.
EA Exchange charges an additional fee of 100 USD (100 EUR) + 7% of the invoiced fee for late payments after the invoice due date.
EA Exchange may offer various discounts through promotional campaigns and cooperation agreements. These discounts cannot be combined. Applicants can make use of one discount per application.
EA Exchange reserves the right to charge fees other than displayed on the EA Exchange websites, in cases of proven mistakes in content related to pricing.
DISCOUNTS
Discounts cannot be combined. The discount with the highest value for the applicant will be applied to the application.
HOLIDAYS
Holidays vary according to the destination country and the host university.
DELAYED ARRIVAL
Late arrival may be possible if agreed with EA Exchange And the host university. Generally, EA Exchange advises students to arrive at their destination before the beginning of the program.
CANCELLATION OF THE PROGRAM
If the host university cancels the program and is not offering an online program or withholds the applicant’s right to participate in the study abroad program for reasons independent of EA Exchange or the applicant, EA Exchange is not liable to refund tuition fees and has no responsibility to refund any other costs related to travel, visa, accommodations or other arrangements involved in the study abroad program at students’ home country or abroad.
In the case EA Exchange gets the information about a study program being canceled by a host university minimum of 30 calendar days before the start of the semester, EA Exchange informs students about the situation and recommends postponing other EA Exchange programs or cancellation with a full refund issued.
If EA Exchange is informed of a study program being canceled by a host university less than 30 calendar days before the start of the semester, EA Exchange informs students about the situation and recommends postponing other EA Exchange programs or cancellations. If postponing or changing to another EA Exchange program is not acceptable for the student, EA Exchange can refund 50% of the paid tuition fee and issue a 50% discount voucher, which can amount to a maximum of 50% of the refund) to be used in another EA Exchange study program in the future.
Some host universities require a minimum number of students in their study programs. Suppose the minimum number is not reached, EA Exchange and the host university reserve the right to cancel the program. In case a program is canceled by EA Exchange, EA Exchange has the responsibility to refund tuition fee payments made by its applicants. In case the program is canceled by the host university less than one month (30 calendar days) before the semester, EA Exchange does not have a liability to refund tuition fees to applicants. If the program is canceled due to reasons independent from EA Exchange or the host university, neither EA Exchange nor the host university is responsible for refunding any payments.
If a maximum number of students is reached at one of our host universities, EA Exchange is not liable to arrange more seats. Students will be offered another destination, postponing or cancellation.
PASSPORT AND VISA
The applicant is responsible for acquiring a passport and a visa and covering all the related costs. The applicant is responsible for obtaining the needed information for the visa process from their nearest embassy. The applicant must inform EA Exchange immediately if required to provide extra documentation that is not usually demanded when applying for a visa.
EA Exchange is not responsible for any damage incurred by the applicant if their travel is delayed or canceled because of insufficient documentation. EA Exchange assumes no responsibility to compensate for any costs incurred by the applicant if documentation from the host university required for the visa is not available for reasons independent of EA Exchange.
While staying at the destination, the applicant is responsible for updating their visa status according to the instructions and rules of the host university and the local authorities. The applicant’s responsibility is to make sure that visa rules are being followed and that the visa is renewed in due course. If an applicant cancels the program while at the destination, their visa status must be updated according to the purpose of their remaining time at the destination. The host university is authorized to invalidate the visa in the event of a visa overstay.
VACCINATIONS
The student is responsible for ensuring they have received all the vaccinations required by the destination country and that the vaccinations are valid. The student is advised to ask their local healthcare providers for more information about the required vaccinations.
EXCHANGE REPORTS, FEEDBACK QUERIES, AND PHOTO/VIDEO MATERIAL
Participants of EA Exchange’s programs allow EA Exchange to selectively use their exchange reports on, e.g., the EA Exchange Webpage(s). The students are also requested to answer feedback queries. By participating in the program, the student approves of EA Exchange’s right to use commercially any photographic or video material recorded by EA Exchange staff without separate notification.
The student is obliged to fill in an online feedback questionnaire sent by EA Exchange after the study abroad. The official transcript of records issued by the university will be sent to the student after leaving feedback.
FORCE MAJEURE
EA Exchange assumes no liability for failure to fulfill its duties in cases of force majeure such as strikes, natural disasters or other situations beyond EA Exchange’s control.
POSTPONING AND CHANGING DESTINATION
Postponing participation or changing the destination is possible up to 14 days before the semester starts. In case of changing the semester, application deadlines for the new destination must be considered. The general cancellation policies do not apply to studies that have been postponed. GOVERNING LAW
Exchange students are responsible for abiding by the laws of their study destination.
PRIVACY POLICY
The applicant is asked for the consent of personal data processing when applying to EA Exchange. The data will be processed by EA Exchange to complete the application or booking and providing applicant service. EA Exchange may share the applicant’s contact information with their corporate affiliates, business partners, or the student’s own sending institution. EA Exchange takes all reasonable precautions to ensure the security of the submitted information. The applicant has the right to withdraw their consent at any time.
REFUND POLICY
Canceling participation in a study program is only possible by written notice via email.
The refundable sum depends on the time of the cancellation. If the tuition fee has been paid and the cancellation notice is received by EA Exchange no later than 30 days (100% refund) or 14 days (50% refund) before the start of the program, the applicant will receive a refund. The refund amounts can be seen in the table below.

The tuition fee is not refundable if the student has canceled participation after postponing the original semester less than 30 days before the start of the semester. Refund policies apply for the initial application but do not for postponed semester participation.
If an applicant cancels the study program due to a decision made by their home university, the above refund policy will apply.
If the study program is discontinued after starting, the applicant must send a written notice to EA Exchange and the host university. The tuition fee will not be refunded.
If applicant’s demeanor is deemed inadmissible during the application process, or if a student behaves in a threatening or inappropriate manner or breaks the law of the host country or the regulations of the university, EA Exchange and the host university reserve the right to cancel or terminate their study program without refunding any payments.
In the event of a refund, no banking or credit card fees will be refunded. Should any further fees occur during the refund process, the student must bear these additional costs.
SPECIAL TERMS AND CONDITIONS FOR SPECIFIC PROGRAMS
Some programs may have additional or modified terms and conditions, such as:
● Any fees paid are non-refundable.
● The Initial Acceptance Letter is conditional and does not guarantee a study placement.
● The Initial Acceptance Letter can only be issued once all application documents have been provided.
● Receiving the official acceptance letter does not guarantee any visa approval
INSURANCES
Every applicant must have valid insurance covering accidents and health-related issues for the duration of their study program. Acquiring insurance is the applicant’s responsibility. Applicants are responsible for acquiring insurance before departure. Insurance must cover a possible treatment onsite and the travel back home in case of illness or physical injury. We recommend using an insurance provider that covers the semester payments in case you must cancel your participation due to medical reasons, as we do not refund the tuition fee in such cases. Upon request, the student is obligated to provide proof of his insurances to EA Exchange or the host university.
EA EXCHANGE’S PARTNERS
EA Exchange has partners that provide travel arrangements and accommodation. By sending an application to EA Exchange, the applicant gives rights for partners of EA Exchange to contact them concerning travel arrangements, accommodation or other services involved in the study abroad program. EA Exchange takes all reasonable precautions to ensure the security of the student’s contact details.
CHANGES
EA Exchange reserves the right to make changes in programs and fees after a contract has been formed between EA Exchange and the customer if the changes are caused by reasons beyond EA Exchange’s control, such as changes in public fees, taxes or currency rates.
EA Exchange is not liable for typographical errors. EA Exchange reserves the right to change contract conditions and information relating to universities. EA Exchange attempts to inform its customers of changes as soon as possible.
EA Exchange assumes no liability for failure to fulfill its duties in cases of force majeure, strikes, or other situations beyond EA Exchange’s control. EA Exchange reserves the right to changes.
LEGISLATION
Exchange students are responsible for abiding by the laws of the host country. In many Asian countries, legislation about, e.g., narcotics is considerably more severe than in Europe and North America.
Liability
EA Exchange assumes no liability for any damage to health, safety, or property or financial loss. EA Exchange is not liable for failure to fulfill its duties or to refund payments in cases of force majeure, strikes or other situations beyond the control of EA Exchange In the case of cancellation, EA Exchange will refund the applicant as described in the Cancellation chapter.
EA Exchange assumes no liability if an applicant’s application does not successfully register in EA Exchange’s database due to a technical problem on the applicant’s end.
EA Exchange is not liable for typographical errors. EA Exchange reserves the right to change contract conditions and information related to universities.
EA Exchange always shares information regarding each study program as fast as possible and to the best of its knowledge. However, it is the applicant’s responsibility to gather any information about their study program. Inconveniences arising from false or late information shall not be a valid reason to reconsider the terms and conditions mentioned here.
PHOTO MATERIAL AND FEEDBACK REPORTS
By participating in EA Exchange’s study programs, the applicant approves of EA Exchange’s right to use any photographic or video material recorded by EA Exchange staff without separate notification. The student is obliged to fill in a feedback questionnaire sent by EA Exchange. EA Exchange is allowed to use student feedback in its communication unless otherwise agreed.
